Under the supervision of the Team Lead, the Administrative Clerk provides administrative support for operations.

The position is a 6-month contract with the possibility of extension.

 

Duties:

  • Sort all mail for the accounting operations department and scan according to the procedures in place
  • Distribute documents to the appropriate groups of the Accounting Operations department
  • Perform administrative tasks related to revenue: making deposits at the bank, receiving station envelopes
  • Perform administrative tasks related to accounts payable: scanning invoices, data entry in Oracle, scanning cheque request forms, distributing cheques, etc.
  • Perform administrative tasks related to payroll
  • Process requests related to Rail Pass
  • Perform administrative tasks related to manual expense reports
  • Filing of documents for the Accounting Operations Department
  • Produce reports for the Accounting Operations Department
  • Fill the paper trays for the photocopiers
  • Replacement of the Customer Service Clerk (reception) as required: breaks, lunch, absences, vacations
  • All other related and administrative tasks for the Accounting Operations Department

 

Requirements:

  • Professional diploma in office administration or equivalent experience
  • Ability to work with computers for data entry (numeric keypad skills)
  • Ability to work with paper documents and familiarity with scanners
  • Minimal physical ability to handle boxes and work standing up
  • Ability to file documents numerically or otherwise
  • Good knowledge of Word and Excel
  • Bilingualism
  • Customer service and administrative support skills
