We are seeking a dynamic and strategic Corporate Project Management Advisor with strong leadership skills and the ability to positively influence teams and stakeholders. In this key role, the successful candidate will be responsible for ensuring compliance with project management standards and governance principles, while driving initiatives aimed at optimizing processes and promoting a culture of continuous improvement. Results-oriented, this individual will play a crucial role in achieving organizational objectives by ensuring that each project is executed efficiently, with integrity, and in line with best practices..

 

Responsibilities:

Process/Method Improvement and Coordination of Value-Added Activities

  • Contribute to the development of the roadmap for the Corporate Project Management Office, aimed at increasing organizational maturity in project management.
  • Take on special assignments related to the improvement of various processes within the Corporate Project Management Office and for various sub-portfolios (IT, Infrastructure, Rea Estate, Rolling Stock, Administration, Strategic initiatives, etc.).
  • Track and report on the progress of continuous improvement initiatives.
  • Manage change during the implementation of improvements through communication, training, and managing the expectations of all relevant stakeholders.
  • Implement internal audits to assess process effectiveness, identify areas for improvement, and support the development of project team skills.
  • Ensure the continuous update of project management process documentation, procedures, templates, and guidelines to maintain their relevance and compliance.
  • Support Benefits Realization Management.

Monitoring, coordination and support for the governance

  • Responsible for coordinating, monitoring, and ensuring the compliance of processes and tools for prioritizing capital investments and business cases.
  • Collaborate with various departments to prepare the necessary documentation and information for prioritization activities and the development of business cases.
  • Ensure adherence to the governance established by the Project Management Office for the identified sectors.
  • Conduct internal audits and provide support to project teams to ensure the application of VIA Rail's standard project life cycle.

Preparation and Interpretation of Reports and Documents for the Executive Committee and Board of Directors

  • Develop value-added indicators to track the performance of the Corporate Project Management Office.
  • Analyze performance indicators across the corporate portfolio and present relevant reports to guide continuous improvement actions within the department and among collaborators.
  • Coordinate and compile reports for the Executive Committee and Board of Directors to facilitate decision-making.

Community of Practice                                                                           

  • Contribute to the development of the community of practice.
  • Propose, prepare, and coordinate communication materials and discussion forums to train and inform the community of practice.
  • Actively participate in training members of the community.
  • Conduct active monitoring of best practices in project management to adapt the latest trends and innovations to the organization's context.

Requirements:

  • A Bachelor's degree in Engineering, Business Administration, or another relevant field. A training or Master's degree in Project Management is a plus.
  • 5 years of relevant experience in project, program, and/or portfolio management.
  • 5 years of experience in supporting/coaching project team.
  • Experience in the development, deployment, and continuous improvement of business processes, as well as change management.
  • In-depth knowledge of the PMI project management framework.
  • Experience and knowledge of project management tools such as SharePoint Online, Project Online.
  • Proficiency in the Office Suite, particularly Excel, PowerPoint, Visio, and Word, Outlook.
  • PMP Certification is an asset.
  • Knowledge of PowerBI is an asset.
