VIA Rail is transforming passenger transportation with its New Fleet Program, introducing state-of-the-art trains to enhance the travel experience. As we expand, we are streamlining and optimizing our warranty claims process with our train supplier to improve efficiency and fleet reliability.
We are seeking an Agent, Claims Administration to play a key role in supporting and optimizing the warranty claims process. You will be responsible for ensuring that all claims are properly documented, tracked, processed efficiently, and ensuring the timely resolution of warranty claims. You will work closely with internal and external stakeholders. This role is essential in strengthening our Warranty Team and driving continuous improvements in reliability and performance.
Responsabilities:
Follow defined processes:
- Ensure that all claims are properly tracked and followed up on in a timely manner;
- Prepare and issue notices to the supplier on time;
- Follow and monitor the notice correspondences between VIA and the suppliers;
- Update claim statuses in a tracking system;
- Collaborate effectively with internal clients and the Senior Quality and Warranty Advisor to gather and verify essential data for the claims process;
- Monitor warranty claims and ensure adherence to warranty policies and procedures;
- Support the meetings with relevant parties to discuss the status of ongoing claims and possible resolutions.
Ensure proper documentation:
- Define, implement and manage an internal documentation management system;
- Document all claim-related materials, including emails, notices, and technical documentation, in a consistent and structured manner.
Administrative Support:
- Provide administrative support as needed;
- Prepare claim-related documentation, organize meetings, and ensure all required information is readily available when needed;
- Gather and archive necessary information from various departments related to the claim;
- Coordinate with a representative from Operations and the Senior Quality and Warranty Advisor to confirm the back-order time to be communicated to Suppliers.
Continuous Process Improvement:
- Identify areas where the claims process can be streamlined or enhanced;
- Recommend and implement improvements to improve efficiency or increase accuracy in claims management.
Requirements:
- Certificate’s degree or DEC (college diploma) in a related field (legal, administration, insurance, etc.);
- 5–8 years of experience managing claims;
- Experience in the transport industry is considered (an asset).

- Meticulous and detail-oriented: Commitment to accuracy and thoroughness in all tasks, ensuring high-quality work and compliance with procedures;
- Bilingualism (written and spoken): Proficiency in both English and French for effective communication in a multilingual environment;
- Intellectual curiosity in technical elements: Understanding technical concepts will provide better insight into the issues discussed in claims;
- Technical proficiency: Good computer skills with experience using SharePoint, Microsoft Teams, and Office 365 Suite.
