Under the supervision of the Manager of Accounting Operations, the Customer Service and Administrative Support Clerk provides administrative support for operations.
The position is an 11‑month contract with the possibility of extension.

Duties:
• The incumbent plays a central role in providing administrative support and managing internal logistics at the head office. They are responsible for mail handling, reception, supply management, and several essential administrative services.


Responsibilities

Mail and Shipping Management
• Receive and sort mail and packages, then distribute them to the appropriate mailboxes.
• Prepare courier manifests (local and national), stamp envelopes, weigh packages, and coordinate all national and international shipments.

Head Office Operations Support
• Make or forward service calls to suppliers based on requests related to office spaces.
• Order paper for multifunction printers and ensure delivery to reproduction rooms.
• Collect empty ink cartridges and return them to the supplier.

Supply Management
• Manage the central stationery inventory for the head office.
• Maintain an up‑to‑date inventory, order missing supplies, and report irregular requests to the immediate supervisor.

Reception and Security
• Greet visitors and keep the visitor log up to date.
• Manage all access cards for PVM employees.
• Manage temporary access cards for contractors and employees.

General Administrative Support
• Answer phone calls, take messages, and transfer communications.
• Enter data into Oracle for scanned invoices.
• Perform any other related tasks associated with the administrative support clerk position.

Other Job Requirements
• Wearing a uniform is mandatory.


Requirements

• Diploma of Vocational Studies (DVS) in Office Administration or equivalent experience.
• Bilingual in English and French.
• Excellent customer service skills.
• Strong data entry skills.
• Good oral and written communication skills and professionalism.
• Physical ability to handle boxes (0.5 lb to 30 lb) and to work standing.
• Good knowledge of Word, Excel, and Outlook.
• Ability to work with minimal supervision.
