Reporting to the Senior Manager, Major Rolling Stock Renovation Projects, the Equipment and Material Logistics Specialist works in collaboration with internal stakeholders at VIA and external contractors to synchronize the movement of equipment between VIA's maintenance centers and the various contractor sites. He works to define and organize equipment preparation activities and rail tests according to the different project schedules. Additionally, he is responsible for coordinating the transfer of materials (parts and systems) between these external contractors and the various VIA departments. He is also responsible for liaising with the project support team, the various VIA project managers, and the contractors responsible for the repairs of cars and locomotives under the major equipment renovation program.

 

Responsibilities:

 

  • Coordinate the movement of equipment between VIA maintenance centers and external contractors, ensuring all VIA departments are aligned and preparatory work is completed according to project schedule requirements;
  • Collaborate with project teams to develop, review, and communicate activities related to equipment logistics;
  • Identify bottlenecks and issues by comparing schedules and needs, present solutions to risks associated with timelines, and facilitate problem resolution;
  • Establish material lists, required quantities, and delivery times based on external contractor requests aligned with project requirements;
  • Identify high-value stocks, essential parts, hazardous goods, and manage parameters for successful transactions;
  • Validate that the storage and handling of materials at external contractors are done according to the contract and best management practices;
  • Follow up on orders placed with VIA departments and ensure delivery goes as planned;
  • Handle non-conformities on parts ordered for projects;
  • Plan the work (modifications) to be carried out on equipment at external contractors by planning material requests aligned with project schedules;
  • Produce and develop performance reports to support service objectives, ensuring tracking information and material assignments are up to date;
  • Maintain spreadsheets to track the status of materials (e.g., in service, stored, used in projects, located at the maintenance center or not, and functional or not) by noting all relevant details;
  • Participate in planning meetings to manage targets and risks by defining production objectives and identifying gaps and discrepancies;
  • Conduct meetings on equipment and material logistics;
  • Attend various project-related meetings.

 

Requirements:

 

  • University degree in operational management, administration, supply chain and inventory management, or a related field, or at least 8 years of experience in a production and planning environment;
  • Excellent communication skills in French and English, both oral and written, and proven ability to collaborate with multiple departments and contractors;
  • Ability to manage multiple priorities, dynamism, and versatility;
  • Ability to adapt to changing work priorities in a rapidly evolving environment;
  • Problem-solving skills by applying a proactive approach to challenges, with excellent planning sense;
  • Proficiency in Microsoft Office suite and advanced functions of Microsoft Excel;
  • Knowledge of planning tools such as IBM Maximo, Lotus Notes, Oracle, and Power BI, an asset;
  • Knowledge of inventory management in the railway sector, an asset;
  • Knowledge of planning the movement of railway equipment, an asset;
  • Availability to work sporadically on weekends for support on equipment movements.
