Reporting to the Senior Manager, Expertise Center and Accounts Payable, the Agent handles and resolves complex requests and issues from internal and external clients who need assistance with transactions related to financial functions and processes. They will liaise with the appropriate individuals to obtain the necessary information to resolve issues and issue purchase orders. Additionally, they will identify opportunities for process improvement.
*This is a temporary position - Maternity leave*
Responsibilities:

The Agent manages requests for the creation and updating of purchase orders. They create purchase orders over $25,000. They analyze complex requests (requisitions, tenders, contract amendments, etc.) and conduct daily follow-ups to ensure processing in the shortest possible time while maintaining compliance and governance application;

The Agent will provide support to internal and external clients for Oracle transactions related to administrative functions and "Procure-to-Pay" processes. They support user training and assist users with questions related to receipts, invoice processing, etc. They must be able to identify potential problems and offer solutions;

The Agent will act as a resource person for members of the finance team. They answer questions, advise colleagues, and collaborate in analyses and the implementation of continuous improvement initiatives;

They will maintain the master invoice file weekly and prioritize outstanding invoices daily to identify blockages and determine solutions. They will also manage the vehicle fleet, handling requests through the platform, renewing licenses/registrations, and coordinating with appropriate individuals involved in the purchasing and disposal processes for vehicles.
Requirements:

A college diploma in administration, finance, or procurement, with a minimum of 5 years of experience in an administrative, financial, or procurement role;

Proficiency in systems related to accounting/procurement operations (Procure-to-Pay);

Strong diplomatic skills with the ability to interact and negotiate effectively;

Excellent communication skills in both French and English;

Attention to detail, precision, and rigor;

Ability to identify problems and demonstrate initiative in developing solutions;

Strong organizational and planning skills;

Must be able to handle multiple tasks, problems, or internal client requests promptly;

Must be able to integrate continuous improvement concepts into daily tasks, in line with departmental requirements and objectives;

Advanced proficiency in Microsoft Office Suite, particularly Excel;

Comfortable navigating various systems and capable of guiding and explaining processes to users;

Oracle knowledge would be an asset.
