The incumbent will ensure that the Employee Service Centre Team, working collaboratively with the HR Business Centre, Expertise Centres, and Employee Relations and drawing on the specialist skills in the HR Technology team, deliver effective and efficient HR services to all business units, managers and employees and achieve high levels of customer satisfaction and the highest quality in client delivery to consistently meet and exceed SLAs and KPIs.

They will also be an agent of change, contributing to improvement projects and helping implement new solutions and approaches. Our ultimate goal is to build an excellent working relationship with Business Leaders, HR Teams, employees and key stakeholders.               

 

Responsibilities:

HR advising and support 

  • Provide a professional advisory and administrative service to business colleagues across a broad range of HR queries and processes (HR Policy, Group Insurance, Retirement, Recruitment), including supporting colleagues with case management, producing correspondence for internal clients, and monitoring reports and documentation;
  • Make thoughtful decisions and demonstrate initiative in handling issues, collaborating as needed with the Expertise Centre, Business Partners and Work Relations on more complex issues and cases;
  • Work with the Payroll team in one or more HR process areas, advising on the policy/service impacts of proposed process changes and ensuring that they are compliant and support process delivery standards;
  • Administer and monitor the HR cycle in collaboration with the Expertise Centre and Business Partners (salary reviews, variable compensation program, annual engagement surveys, formal recognition processes, annual retirement statements, year‑open and year-end activities, etc.);
  • Work with various service providers and follow up on requests and outsourced work and tasks (insurers, pension administrators, survey providers, actuaries, consultants, etc.);
  • Lead onboarding sessions for new employees and managers.

 

HR systems and technology 

  • Act as a resource person to members of the HR team and the Payroll department for matters involving HR policies and processes;   
  • Identify and support the roll out continuous improvement initiatives in processes and systems;
  • Contribute to improvement projects, help implement new solutions and tools and help analyze initiatives related to HR processes, procedures and policies;
  • Oversee data governance in the VIP system.

Other 

  • Support the Work Relations Team in preparing to negotiate collective agreements (e.g., providing data and reports);
  • Contribute to the optimization of a variety of HR processes;
  • Have a proactive and collaborative approach, working with HR colleagues and stakeholders to ensure timely and professional delivery;
  • Contribute to sector projects and initiatives.

 

Requirements:

  • Bachelor's degree in industrial relations, human resources or administration; 
  • A minimum of 2 to 3 years of experience in Shared Services or HR Shared Services delivery model;
  • Bilingualism (English and French), both spoken and written; 
  • Advanced proficiency in Excel, Powerpoint and Word;
  • Experience using and HRMIS, Case Management, and other HR systems;
  • Experience with VIP (DLGL) and ServiceNow (an asset);
  • Mathematical, statistical and writing skills;
  • Good analytical and synthesis skills;
  • Rigour, attention to detail and respect for confidentiality;
  • Possess very good interpersonal and commnication skills in order to collaborate with the members of the various teams and develop suitable trust relationships;
  • Demonstrated ability to prioritize multiple roles and manage time effectively.
