Position: Technical Advisor, Facilities Management
Reporting to the Senior Manager, Facility Management, this role serves as VIA’s principal architectural and technical design expert. The Advisor is responsible for establishing and maintaining sustainable architectural standards and technical specifications that ensure VIA’s passenger facilities are safe, functional, accessible, and welcoming.
Guided by corporate strategy and planning directives, the Advisor translates organizational needs into comprehensive architectural programs, feasibility studies, and masterplans that align with sustainable mobility principles, regulatory requirements, and funding parameters.
This position plays a key strategic and operational role in the stewardship of VIA’s fixed asset portfolio. By overseeing architectural documentation, supporting operational projects, and centralizing technical data, the Advisor helps build a reliable, scalable knowledge base that enables informed investment decisions, effective maintenance, and long-term asset and portfolio planning.
Key Responsibilities
- The Advisor leads the development, implementation, and continuous improvement of sustainable architectural and design standards for stations, maintenance centres, office spaces, furniture, and passenger amenities, applying architectural best practices across VIA’s facilities.
They produce, update, and manage technical drawings using AutoCAD, modifying existing plans or creating new drawings in collaboration with planning and execution project managers. This includes ensuring compliance with internal standards, verifying the accuracy of graphic information, applying proper file-naming conventions, and coordinating with stakeholders to validate data. - The role involves compiling and analyzing business and facility requirements and translating them into architectural programs, project concepts, and masterplans aligned with corporate priorities, sustainability policies, guidelines, and planning directives.
- The Advisor maintains and continuously improves VIA’s repository of drawings and project documentation, ensuring all files are properly archived, indexed, version-controlled, traceable, and easily accessible. They implement and uphold document control protocols and routinely review folder structures to enhance efficiency and data integrity.
- Working collaboratively with internal teams, internal clients, and external professionals, the Advisor contributes to pre-project feasibility studies, business cases, operational projects, and preliminary architectural design concepts that align with regulatory codes, business needs, and corporate strategy.
- In support of project managers throughout planning and execution, the Advisor provides technical expertise in defining scopes of work, layouts, and design modifications; prepares drawing sets and documentation for internal reviews and external contractors; participates in coordination meetings to anticipate needs and resolve issues; reviews deliverables for compliance and accuracy; and supports the maintenance and improvement of costing tools to assist with accurate budget forecasting.
- As a quality control authority, the Advisor reviews drawings, specifications, and consultant deliverables at all project stages, including major construction initiatives, to ensure compliance with applicable codes, regulations, and VIA standards. The role includes reviewing shop drawings, liaising with contractors, and supporting smooth project execution.
- The Advisor maintains and updates the facilities standards library, ensuring standards reflect current practices, lessons learned, and evolving operational needs. They coordinate updates with engineering, architectural, and asset management teams, support product research and material selection, manage the samples library, and act as a key point of contact for internal teams requiring access to design and documentation standards.
- The position also serves as a technical resource for construction problem-solving, material evaluation, and innovative design solutions, providing hands-on support to project managers across the project lifecycle.
- In addition, the Advisor supports the development of a digital inventory of fixed assets by contributing drawings and metadata to asset databases, linking spatial data to key attributes (location, function, area, construction or renovation year), assisting in the foundation of a centralized facilities management system, and helping define processes and tools for effective drawing and asset data management. The role includes identifying information gaps and proposing practical solutions to improve access to accurate technical data across departments.
What We Are Looking For
Required Qualifications
- Diploma in Architectural Technology, Engineering Technology, or an equivalent discipline
- 2 to 4 years of relevant experience in a technical support, drafting, architectural, engineering, or construction environment
- Familiarity with document management systems and file organization best practices
- Experience with AutoCAD
- Experience with BIM or digital twins is considered an asset
