VIA Rail is transforming passenger transportation with its New Fleet Program, introducing state-of-the-art trains to enhance the travel experience. As we expand, we are streamlining and optimizing our warranty claims process with our train supplier to improve efficiency and fleet reliability.
The Technical Specialist Warranty Claims is responsible for managing and coordinating the technical aspects of claims related to new fleet renewal (CFR VIA )project deliverables. The incumbent ensures that technical claims are processed effectively, facilitates communication between departments, and ensures that all claims meet the necessary technical and contractual requirements.
Responsibilities:
Process Implementation:
- Define fleet claims processes to ensure all claims are properly tracked and followed up on in a timely manner;
- Maintain a thorough understanding of the workflow and timelines associated with each claim;
- Identify areas where the claims process can be streamlined or improved. Recommend and implement improvements to increase efficiency, reduce turnaround time, or improve accuracy in claims management;
- Assist in the development and implementation of claims management strategies and best practices.
Claim technical preparation:
- Manage and coordinate potential and confirmed technical claims issues;
- Oversee and coordinate the resolution of technical claims, ensuring compliance with the contracts;
- Collaborate with various internal teams, including engineering, operations, quality assurance, and legal departments, to evaluate and resolve technical claims;
- Work closely with other departments, suppliers, and third party vendors to gather relevant information and ensure timely resolution of claims;
- Prepare and submit technical documentation and reports related to claims, including recommendations for action;
- Facilitate meetings with relevant parties to discuss the status of ongoing claims and potential resolutions.
Claim management
- Analyze and assess claim documentation, including technical reports, photos, and other supporting materials, to determine the validity and scope of claims;
- Lead the preparation and submission of the technical claim documentation;
- Ensure proper recording and filing of all claim-related documents, maintaining an organized and accessible claims database;
- Track claim progress, ensure that all necessary steps are followed, and provide regular updates to stakeholders;
- Monitor warranty claims and ensure compliance with warranty policies and procedures;
- Identify recurring issues or trends in claims and recommend process improvements or preventive actions.
Requirements:
- Bachelor's degree in Engineering, Management, or a related field;
- At least 8 years of experience in technical coordination, claims management, or a similar role;
- Experience in warranty claim management or a related technical field for rolling stock;
- Experience with contractual terms and legal requirements related to claims;
- Working in a project environment is an asset.
Competencies:
- Strong technical background with the ability to understand complex technical data and documents;
- Excellent communication and negotiation skills, both written and verbal;
- Ability to work under pressure, manage multiple claims simultaneously, and meet deadlines;
- Knowledge of transportation and industry standards, regulations, and best practices in claims management;
- Proficiency with claims management and Microsoft Office Suite;
- Strong organizational skills and attention to detail;
- Cross-Functional Collaboration – Ability to work effectively with diverse teams across various departments to drive solutions and improvements;
- Proactive & Initiative-Driven Approach – Ability to take initiative, anticipate challenges, and act independently when needed;
- Bilingualism (Written & Spoken) – Proficiency in both English and French for effective communication in a multilingual environment;
- Intellectual curiosity in technical elements – Understanding technical concepts will provide better insight into the issues discussed in claims;
- Technical Proficiency – Good computer skills with experience using SharePoint, Microsoft Teams, and Office 365 Suite.
