Manage and administer service contracts/agreements for the operation of station buildings in a given territory. Monitor work planned and in progress in accordance to safety and environmental requirements. Prepare analysis reports and recommendations for building investment and facility rationalization. Identify and implement improvement opportunities in order to create operational efficiency. Ensure a regular onsite presence and act as the liaison officer for tenants and VIA Customer Experience with respect to the performance of contractors and suppliers of services in the stations.
RESPONSABILITIES
- Manage and administer contracts for the operation of station buildings in accordance with corporate policies and procedures. Monitor work planned and in progress in accordance to safety and environmental requirements. Act as a liaison officer for tenants and for VIA Customer Experience with respect to the performance of contractors and suppliers of services in the stations. Monitor contractual performance and relationship to ensure performance standards are met. Identify discrepancies and implement corrective action as required. Interface with Finance and Purchasing departments on a regular basis.
- Participate in the preparation of strategic analysis and assist in the development of business cases for building investment and facility rationalization. Support Facility manager and Senior Facility manager in the documentation and onsite inspection to support strategic initiatives. Monitor regional initiatives and report to Senior Manager on plans, programs and critical issues related to station buildings. Establish schedules, priorities, action plan and provide timely completion of work and resolution of issues involving contractors.
- Issue and receive tenders, award local purchase orders or contracts for minor construction or professional services in accordance with corporate policies and procedures. Manage the work control function. Liaise with Customer experience personnel in the stations.
- Responsible for the station’s property profiles. Research, collect and produce management report on property data, station performance with respect to operational and utilities costs. Perform comparative analysis between stations and make recommendations to the Sr. Manager, Real Estate and Asset Manager on potential improvements.
- Participate in the development of the Regional real estate 5 year business plan.
- Acts as Liaison coordinator with property tenants, brokers or other parties associated with revenue or leasing partners. Support & coordinates leasing and revenue activities of all kinds.
- Act as a resource person for team members in data entry on Oracle's I-Procurement module regarding requisitions, receipts, work confirmations and billing follow-up with accounts payable, cost controllers and professionals.
WHAT WE ARE LOOKING FOR
- University degree (B.A. or B. Com. preferred) with 5 years of experience in property and contract administration, or an equivalent combination of related experience and education. Experience managing contractors within an operational setting. Real Property Administrator (RPA) designation is an asset.
- Superior computer skills, MS Office; proficient in Excel. Oracle E-Business Suite.
- Must be able to travel as required.
- Effective interpersonal, negotiation, facilitation skills.
- Strong communication skills, both oral and written.
- Highly organized with ability to adapt to competing priorities and manage time appropriately.
- Work collaboratively with members of various teams and able to consider operational perspective.
- Must be accountable, results-oriented and flexible, able to work in a complex, changing environment with multiple tasks.
- Must display attention to detail, and excellent problem-solving skills.
